Prepare my exhibition: 5-step method in 2026

8 min readBy Dorian Verdier

In 30 seconds

Exhibition preparation accounts for 80% of its final success. 5-step method: define a strong thematic angle, select artworks according to a narrative coherence (12 to 25 works optimal), design the scenography (path, hanging, lighting), prepare multi-channel communication (invitations, media, networks), and orchestrate logistics. A last-minute prepared exhibition is perceived as amateur, even if the artworks are excellent.

Why preparation weighs 80%

I saw two artist exhibitions of equivalent technical level: one sold 12 out of 18 works, the other 2 out of 16. The difference didn't come from the artworks but from the preparation.

The first artist worked on her thematic angle 4 months ahead, the second set up her show in 6 weeks. A well-prepared exhibition invites reading. A poorly prepared exhibition leaves the visitor perplexed.

Step 1, define the strong thematic angle

An exhibition is not a catalog. It's a statement. Three questions to find the angle: What question obsessed me over the last 12 months? What comes back in spite of myself? If I had to summarize this series in one sentence, what would it be?

The angle translates into a title (3-7 words) and an introductory text (200-400 words) at the entrance.

Step 2, select the artworks

12 to 25 artworks for a solo show. Criteria: works that dialogue (not just juxtaposed), 70% recent (less than 18 months), mix of formats, 2-3 structuring 'pivot' works, palette coherence.

Cut without hesitation: works you doubt, filler works, works that contradict the angle.

Step 3, design the scenography

Spatial organization that dictates the visitor path. Principles: strongest work in first view from the entrance, left-to-right path (reading direction), breathing spaces between major works, conclusive work towards the exit, standardized hanging height (1.50m from the floor).

Step 4, multi-channel communication

Four minimum channels: physical invitations (50-200 VIP+press sends, D-30), email (3-send sequence), social networks (6-week campaign), press (press release D-21 + follow-ups). Visual coherence between mediums is mandatory.

Step 5, orchestrate logistics

Specialized transport for works over $2,000, insurance, D-day team, tested payment system, photo documentation, plan B for unforeseen events.

The 3 mistakes that sink preparation

  • Mistake 1, accumulating artworks instead of selecting. Better 15 chosen works than 30 amassed.
  • Mistake 2, neglecting the introductory text. 200-400 words that frame the show. If weak, the exhibition is mentally poorly framed.
  • Mistake 3, copy-pasting communication from a previous exhibition. Each exhibition deserves its own strategy.

FAQ

Do you need a curator to prepare a solo show?

Not mandatory but recommended for institutional exhibitions. For commercial galleries, the gallerist acts as one.

How much does preparing a solo exhibition cost?

Typical budget: $2,000 to $8,000 including transport, framing, communication, wine, materials.

Can the scenography be changed during the exhibition?

Possible adjustments in the 48-72h after the opening depending on visitor feedback and sales.
