4-step method: identify 3-5 recognized writers (established artists, curators, critics, gallerists, professors), ask 3-4 weeks before deadline, provide project brief + CV + argument suggestions, follow up politely. Grants $15,000+: 1-3 letters. Grants $50,000+: 3-5 letters. Personalized letter from recognized author > generic letter.
Step 1: identify 3-5 recognized writers
- Established artists, curators, critics, gallerists, professors
- Authentic documented relationship — not family or friends without legitimacy
- Diversify profiles: artist + institution + critic ideally
Step 2: ask 3-4 weeks before the deadline
- Professional email with clear subject and explicit deadline
- Explain target program and requested amount
- Never ask the day before the deadline
Step 3: provide complete dossier to the writer
- Project brief (1 page): objective, method, expected impact
- Updated artist CV
- Argument suggestions (1 page) — points to highlight
- Program requirements (format, length, deadline)
Step 4: follow up and thank
- Polite follow-up at D-3, D-2 and D-1 weeks if no response
- Sincere thanks after submission, regardless of outcome
- Inform the writer of the result (accepted or rejected)
Content of a strong letter
- Presentation of relationship with candidate
- Evaluation of artistic path and achievements
- Relevance of proposed project
- Execution capacity and expected impact
- Explicit enthusiastic recommendation
- 300 to 500 words (1 page maximum)
Variations by program
- CALQ / Canada Council: recommended from $15,000, 1 page max
- International programs: often required, strict format
- Museums and institutions: 3 to 5 letters, dossier-level signatures
- Grants $50,000+: 3 to 5 letters nearly mandatory
The 4 support letter mistakes
- Mistake 1: asking at the last minute — rushed letter or refusal to write
- Mistake 2: irrelevant people — family, friends without professional legitimacy
- Mistake 3: too little context provided — writer cannot personalize
- Mistake 4: forgetting follow-up and thanks — relationship not renewable
