Month 10
Artist project provisional budget: complete 2026 structure
In 30 seconds
8 line items: artist fees (40-50%), materials (15-25%), production (5-15%), dissemination (10-15%), research (5-10%), equipment (5-15%), admin (3-7%), contingencies (5-10%). Exhaustive AND realistic budget. Juries detect inconsistency immediately. In 8/12 analyzed rejections, "poorly structured budget" was cited.
Why the budget is the key to the dossier
I analyzed a dozen rejected dossiers in 2023-2024 that artists shared with me. In 8 of 12 cases, the rejection explicitly cited "poorly structured budget" or "lack of detail in budget breakdown."
The jury evaluates your professional seriousness through your budget. A vague budget (1 line "materials: $8,000") reveals an artist who hasn't really planned the project. A detailed budget (12+ justified lines) shows a structured artist.
Line item 1 — artist fees (40-50% of total)
Your compensation for production time. This is often the largest budget line. Legitimate and expected.
- Estimated hours over project duration × hourly rate
- Professional Quebec visual artist hourly rate: $35-60/hour depending on level (RAAV grid equivalent)
- Example: 12-month project, 800 total hours × $45 = $36,000 in fees
Line item 2 — materials and supplies (15-25%)
Everything you'll consume in production. Detailed by item with estimated quantities and unit prices. Not a lump sum.
- Canvases, panels, paper
- Paints, mediums, varnish
- Brushes, rollers, tools
- Framing (sometimes included, sometimes separate line)
- Miscellaneous small supplies
Line item 3 — production (5-15%)
- Professional photography of works
- Catalog and certificate printing
- Video production (if applicable)
- Technical assistance (if applicable)
- Temporary studio rental (if needed)
Line item 4 — dissemination (10-15%)
- Transport of works to exhibition
- Insurance during transport and exhibition
- Opening (wine, catering)
- Communication (posters, press releases, photos)
- Travel if exhibition out of town
Line item 5 — research and documentation (5-10%)
- Books, journal subscriptions
- Study trips (museum visits, reference sites)
- Specialist consultations (historians, scientists as relevant)
- Archive fees, reproduction rights
Line item 6 — equipment and technical material (5-15%)
- Equipment purchase or rental
- Specialized software
- Safety equipment (especially for murals)
Line item 7 — administration (3-7%)
- Accountant for project tracking
- Bank fees
- Business phone, internet
- Postal and administrative fees
Line item 8 — contingencies (5-10%)
Provision for unforeseen costs. Never zero. Projects always have overruns.
- 5% for well-controlled project, 10% for project with unknowns.
Concrete example: 15-canvas project + solo show
Budget for 15-canvas series + solo show, requested at intermediate level (CALQ "Creation Support" pro). Grant request: $25,000 (self-funding and other sources cover the rest).
- Artist fees — 800 hrs × $45 — $36,000
- Canvas materials — 15 canvases 36×48 in — $4,800
- Paints and mediums — Pro acrylic + varnish — $2,200
- Tools and supplies — Brushes, rollers, misc — $800
- Framing — 15 works × $180 — $2,700
- Pro artwork photos — 1-day session — $600
- Opening — Wine, catering, communication — $1,500
- Work transport — To gallery + return — $800
- Exhibition insurance — 4-month coverage — $400
- Project documentation — Photos, video, archives — $700
- Accountant — 12-month project tracking — $800
- 5% contingencies — Unforeseen provision — $2,600
- Total — $54,000
Funding sources to mention
A grant generally doesn't cover 100% of the project. Juries appreciate diversified funding efforts.
- Self-funding: planned sales, personal savings
- Other confirmed grants: if municipal grant already awarded
- In-kind contributions: loaned materials, provided space
- Private contributions: patronage, sponsorship
- Potential revenue: planned sales at exhibition
The 4 major budget mistakes
- Mistake 1 — lump sum without detail: "Materials: $8,000" without breakdown = unserious budget.
- Mistake 2 — forgotten or low artist fees: $5,000 for 12 months of work = bad signal.
- Mistake 3 — inflated amounts: requesting $12,000 for materials when $4,000 suffices = jury suspects and rejects.
- Mistake 4 — no contingencies: no provision = immature project. Always 5-10%.
